Event Project Management in NYC

One project manager from the first call to the last truck: budget, schedule, CAD drawings, crews, venue coordination and a show caller on headset.

Our Production Management Team for the Whole Show

Every event has hundreds of moving parts: gear, crews, trucks, venue rules, schedules and the people on stage. Production management is keeping all of it pointed at the same show, and it is where most events are won or lost before the doors open.

ProSho assigns a project manager to your event who owns the production from start to finish. They build the scope and the budget, draw the plans, book the crews, coordinate with the venue, production managers and city agencies, handle power access, stage layout and loading dock logistics, and hand the show to a caller who runs it on the day.

It is how our event production company in NYC runs every show, and it works for a single ballroom or a multi-day conference. Need gear and technicians only? See our AV company in NYC.

  • One point of contact from start to strike
  • Venue, city agency and permit coordination

What Your Project Manager Handles

We are not a catering or guest-list event management company. We manage the production: everything that makes the show look, sound and run right.

Scope and Budget

A clear list of what the show needs, what it costs and where the choices are.

Schedule and Run of Show

Load-in, rehearsals, doors, show and strike, minute by minute, shared with every department.

Venue and Permits

Venue rules, city agencies and permits handled, so nothing stops the load-in.

Crews and Vendors

Our audio, video, lighting and staging crews, plus your other vendors, on one plan.

Power and Site Logistics

Power distribution, cable runs, loading docks and truck timing planned ahead.

Power & Site Logistics

Site Surveys

A walk-through of the venue for rigging points, access, power and sightlines.

Event Design and CAD Renderings Before Anything Ships

Before a single truck is loaded, you should be able to see the event. Our team helps shape the creative direction, from lighting concepts to scenic elements and visual themes, then draws the room, the stage and the screens in CAD.

CAD renderings and floor plans show seating, stage and screen placement, sightlines and the dance floor if there is one, so you, the venue and every vendor sign off on the same picture. ProSho Scenic & Fabrication then builds what was drawn.

Show Calling: One Voice on Headset

On show day, one person runs the show. The show caller works from the run of show and calls every cue over intercom: lights, sound, video, walk-ons, reveals and transitions. The crew waits for the call, so a keynote, an awards segment or a product reveal lands on the exact beat.

Our show callers rehearse with your presenters and the crew, keep the show on time, and adapt in real time when a speaker runs long or a segment moves.

  • Every cue called from the run of show
  • Rehearsals with presenters and crew
  • Intercom for every department
  • Real-time changes handled calmly

Planning Questions We Hear Most

What does an event project manager do?

They own the production side of your event from the first call to the last truck: scope and budget, schedule, drawings, crews and vendors, venue coordination and the run of show. You get one person to call, and they keep every department moving together.

What is the difference between event management and production management?

Event management covers the whole event, from guests and catering to the venue contract. Production management covers the show itself: sound, video, lighting, staging, scenic, power and the crew who run it. ProSho manages the production and works alongside your planner or agency.

What is a show caller?

The show caller runs the show from the run of show, calling every cue over headset: lights, sound, video, walk-ons and transitions. Every department waits for that call, so the show moves as one.

Do you handle permits and venue coordination?

Yes. We coordinate directly with venues, production managers and city agencies when needed, from power access and stage layout to loading dock logistics, so everything is compliant and ready.

Do you provide CAD renderings before the event?

Yes. We draw the room, the stage and the screens in CAD, with floor plans for seating and placement, so you can see the event and sign off before anything is built or shipped.

When should we bring in a production manager?

As early as you can, ideally once you have a date and a shortlist of venues. The room decides the stage size, rigging points, power and load-in, so early advice saves money and surprises.
